Confidentiality & Non-Disclosure Policy

Our approach

We value our customers’ satisfaction and appreciation.

This means that we value not only your (online) privacy: all interactions (including all company, contact and content-related information) between KiTL Services and (potential) clients will be treated confidentially.

We do not disclose any of the the information, submitted to KiTL Services by prospects or clients, to any outside party. We have no interest, involvement, account or affinity with any parties processing big-data and we decline the usage of online translation tools for the translation of entire texts.

We do use translation software as a support. This software is locally installed on a dedicated laptop with an encrypted harddisk. No source or target texts are stored in the cloud.

We do not register client-related information (company or contact name) within an (online) ERP system. Most of the information we keep, is stored in a secured e-mail system and this information is archived for the duration of our cooperation and until 36 months after the last client invoice, after which all e-mail exchange will be deleted. Client invoice administration will be archived and kept on the aforementioned encrypted hard-disk, for the period of 7 years as determined by Dutch law.

The information anyone posts on the present website or on our Linkedin channel, is of course public.

Spanish

For jobs involving Spanish in particular, KiTL Services works with a trustworthy third party. This is the only situation where a source text will be shared with any other party outside of KiTL Services. Client information and details will be withheld (*), and in the specific case of particular localization and transcreation tasks, relevant additional information will be shared with the third party on a need-to-know basis and in consultation with the client.

Special confidentiality needs

The sharing of very confidential texts via any e-mail software may be at-risk over the internet. KiTL Services can therefore be contacted through protonmail.com, a secure communications service well-known for special end-to-end e-mail encrytion between sender and receiver, as long as both parties utilize this service. If you have special concerns regarding sending highly confidential information over the internet, we recommend you to contact us at kitl-services(at)protonmail.com, via a protonmail account of your own.

If clients insist on formalizing dealings with KiTL Services in a Non-Disclosure Agreement of their choice, we will happily consider it .
